Proposal tags are labels you apply to supplier proposals to organize and track them, for example marking proposals as reviewed, approved, unreviewed, or any custom label your team needs. Tags are organizational only. They do not change how proposals are approved, awarded, or processed.
Tags are useful when you need to track status across more than one proposal from the same supplier. For example, a supplier may submit a monthly proposal for some items and a separate proposal for others, and you want to track each independently. Tags let you do this without affecting the standard one-approved-proposal-per-RFx rule.
Who can create and apply tags
Tag permissions depend on your role:
- Project Owners who are also SysAdmins can view, apply, edit, and create new tags.
- Project Owners who are not SysAdmins can apply existing tags to proposals and remove them, but cannot create new tags.
- Users who are not Project Owners cannot add tags to proposals.
Tags are specific to each project
Tags are created and stored at the project level. You create them on a proposal inside a project, and they are only available within that same project.
If you create a set of tags in one project, those tags will not appear when you open a different project. Each project maintains its own tags, so you create new ones as needed in each project.
How to add a tag to a proposal
- Open a proposal within your project from the Proposals tab.
- Click Other Options at the bottom of the screen, then select Add Tags.
- To create a new tag, click + Create New and enter the tag name. Creating tags requires the SysAdmin role.
- Use the checkbox next to each tag to apply or remove it from the proposal.
- To edit or delete a tag from the project, use the pencil or trash can icon next to the tag. Deleting a tag removes it from the project and from any proposals it was applied to.
- Click Save.
Where tags appear
Tags are visible in the Proposals tab in the proposal list view, and the proposal comparison view.
Tags in the proposal export
When you export proposals (Proposals → select → Download → Proposals), the file includes every tag defined in the project. Each proposal shows a checkmark against the tags applied to it, so you can see at a glance which proposals carry which tags. A tag with no checkmark is not applied to that proposal.
What tags do not affect
Tags are metadata for organization only. Applying or removing a tag does not change the approval flow, the award flow, document generation, purchase request creation, or ERP integrations.
